PayCoreHN is payroll calculation and administration software. PayCoreHN does not receive, hold, transfer or disburse funds belonging to the company or its employees, and has no access to the company's bank accounts. Payroll disbursements are authorized and executed solely by the client company through its own banking institution.
PayCoreHN is not a payment service provider, payment facilitator, money transmitter or e-money issuer, and does not issue stored value.
Language. This English text is a convenience translation. The binding version of this policy is the Spanish one, available at Política de Privacidad. In the event of any discrepancy, the Spanish version prevails.
This policy explains what personal data we process in PayCoreHN, what we use it for, and what you can do about it. It applies to the site paycorehn.com and to the application app.paycorehn.com.
1. Who processes your data
FYMTECH S. de R.L., with its registered domicile in San Pedro Sula, Cortés, Honduras, operates PayCoreHN. For any privacy matter, write to support@paycorehn.com.
2. Two distinct roles: when we are controller and when we are processor
This distinction matters because it changes who you ask for what.

If you are an employee of a company that uses PayCoreHN: your employer decides what data about you is loaded and how long it is kept. We only process it on their instructions. Direct your access, correction or deletion requests to your employer. If you would rather write to us anyway, we forward your request to the company responsible and confirm that to you.
3. What data we collect
3.1 Account and billing data
- Name and surname of the contact person, email address, phone number and job title.
- Company name, tax identification and billing details.
- Username and password. Passwords are stored with a one-way hashing algorithm: nobody on our team can read them.
- Ticket history and support conversations.
We do not store full card numbers. Where collection of the subscription fee is handled by a billing provider, that provider collects and processes the payment method data under the terms of your subscription agreement.
3.2 Technical and usage data
- IP address, browser and device type, date and time of access.
- Activity logs inside the application, which we use for security, audit and error diagnosis.
3.3 Employment data loaded by the client company
This data is supplied by the company, not by us. Depending on the modules it has subscribed to, it may include:
- Employee identification: name, identity document, date of birth, contact details and dependants where these are relevant to benefits.
- Employment data: position, department, contract, salary, deductions, employer loans, vacation, exceptions and final settlements.
- Employee bank details that the company records in order to include them in the export file it delivers to its own bank. PayCoreHN does not access those accounts and does not operate on them.
- Attendance records generated by time clocks or biometric devices: date, time and employee identifier.
- If the company uses the employee self-service app: the photo taken when clocking in, and the approximate location of the punch where geofencing is enabled.
- Personnel file documents the company uploads.
Several of these are sensitive categories of data. The client company is responsible for having a legal basis to process them and for informing its staff.
4. What we use the data for
PayCoreHN processes this data solely to calculate, document and report payroll on behalf of the client company. It does not use it to initiate, process or settle payments.
- Providing the service: calculating payroll, generating reports and files, and keeping the application running.
- Charging the subscription and issuing the invoice.
- Providing support and answering your questions.
- Protecting the platform: detecting improper access, fraud and abuse.
- Meeting legal obligations and responding to requests from competent authorities.
- Improving the product from aggregated usage data.
We do not sell personal data. We do not use it for advertising. We do not share it with third parties for their own commercial purposes. We do not train artificial intelligence models on our clients' employment data.
5. Who we share it with
- A billing and collection provider, where your subscription agreement involves one, to issue the invoice and handle collection.
- Infrastructure and hosting providers, where the application and the database run: Contabo servers in the US East region.
- An email provider, to send notifications, receipts and service messages.
- Integrations you switch on, such as SAP Business One, or the generation of files in your bank's layout. The file is downloaded and uploaded by the company; PayCoreHN does not connect to banks. Only what is necessary for that integration is shared.
- Competent authorities, where a rule or a valid order requires it.
We have the appropriate contractual arrangements in place with these providers, and they access only what is indispensable to provide their service.
6. Where data is stored, and international transfers
The application and the database are hosted on Contabo servers in the US East region. This means your data is stored outside Honduras. The provider offers an adequate level of protection and is bound by contractual clauses requiring it to safeguard confidentiality.
7. How long we keep it
- While your account is active, we keep the data so you can use the service and consult your payroll history.
- When the subscription ends, we keep your data available for export for 30 days and delete it within the following 90 days.
- We keep for longer whatever the law requires us to keep, such as accounting and billing records.
- Backups rotate and expire on their own; a deleted item may persist in a backup until that backup expires.
8. Security
- All traffic with the application is encrypted over HTTPS.
- Passwords are stored hashed, never in plain text.
- Each company's information is kept separate from that of other clients.
- Access inside the application is controlled by role and by data scope, administered by each client.
- We log relevant activity so that access can be audited.
- We take periodic backups of the information.
No system is infallible. If a security incident affects your data, we notify you without undue delay and explain what happened and what we are doing about it.
9. Your rights
You can request:
- Access: to know what data of yours we process.
- Rectification: to correct inaccurate or out-of-date data.
- Erasure: to have your data deleted, where no legal or contractual obligation to retain it exists.
- Objection and restriction: to have us stop processing it for a given purpose.
- Portability: to receive your data in a commonly used format.
To exercise them, write to support@paycorehn.com from the email address associated with your account. We respond within a maximum of 10 business days. If we need longer, we tell you and give you a date.
Remember point 2: if you are an employee of a client company, the request is resolved by your employer, who is the controller of that data.
10. Cookies
We use cookies and browser local storage only for what is indispensable:
- Keeping your session signed in and protecting access.
- Remembering interface preferences, such as filters and the selected company.
We do not use advertising cookies and we do not sell browsing information. If we ever add third-party measurement tools, we will update this policy and ask for your consent where the law requires it. You can block cookies in your browser, but the application will not work correctly without the session ones.
11. Minors
The service is aimed at companies, not at minors. We do not collect data from minors directly. If a client company registers a person under the age of majority as a worker, it is that company's responsibility to comply with the applicable labor rules.
12. Changes to this policy
If we update this policy, we publish the new version on this page and change the date above. Where the change is material, we notify you by email or inside the application.
13. Governing law
This policy and the processing it describes are governed by the laws of the Republic of Honduras, and the competent courts of San Pedro Sula, Cortés, Honduras have jurisdiction. The Spanish version at Política de Privacidad is the binding one; where this translation and the Spanish text differ, the Spanish text prevails.
